You do not need a large finance department to maintain control. You need a repeatable rhythm. Here is a minimalist setup that works for teams of 3-15 people.
Daily Routine (15 minutes)
Capture all bills and invoices received; label and file using digital folders named YYYY-MM. Record collections and payments with proof attached to entries. Note exceptions including short shipments, price differences, and advance adjustments.
Weekly Routine (45 minutes, fixed day)
Bank reconciliation involves matching bank entries with books. Receivables ageing requires reviewing top 10 overdue and assigning next actions. Payables review means approving the payment run for the week. Inventory check involves flagging slow movers and assigning action owners.
Month-End Routine (90 minutes)
Close books for the month ensuring all bills and credit notes are captured. Reconcile vendor statements and key customer ledgers. Review one-page MIS covering revenue, gross margin trend, and cash in/out summary. Write 3-5 bullet commentary for management review.
Why Checklists Beat Memory
Create living checklists for sales-to-collections process, purchase-to-payment process, payroll processing, and month-end close. Keep them short and frictionless. The goal is not a perfect manual—it is a habit the team follows consistently.

Even in small teams, decide who prepares, who reviews, and who approves. The same person should not perform all three on the same transaction type.
Tool Philosophy
Start with your existing accounting software and shared folders. Add automation only after the habit forms. A simple dashboard showing receivables, payables, and bank balance trends is sufficient to begin.
